1. Visa Disclaimer

• The China Tourist Visa is included in the package cost unless stated otherwise.

• Visa approval is solely at the discretion of the Chinese Embassy / Consulate.

• PlanBay will assist with documentation, guidance, and submission, but does not control, influence, or guarantee visa outcomes.

2. Visa Rejection & Refund Policy

In the event of a visa rejection:

• Refunds will be processed after deducting non-recoverable costs, including but not limited to:

  • Visa processing fees

  • Flight cancellation or amendment charges (if tickets have already been issued)

  • Hotel or service provider cancellation charges

• A clear and transparent breakup of deductions will be shared with the participant.

• PlanBay does not profit from visa rejections under any circumstances.

3. Refund & Cancellation Framework

• All cancellations and refunds are subject to non-recoverable costs already incurred, including but not limited to:

  • Visa processing charges

  • Flight cancellation or rescheduling fees

  • Hotel and third-party service cancellation charges

• Any applicable refund will be processed after deducting these costs, with a transparent cost breakup shared.

• PlanBay does not retain profits from cancellations.

4. Itinerary Flexibility Clause

• While the core structure and key experiences of the journey remain fixed, minor adjustments to timings, sequencing, or specific locations may be made on-ground.

• Such changes may occur due to:

  • Weather conditions

  • Crowd control or local regulations

  • Operational or logistical constraints

• All decisions are taken in good faith, prioritizing traveler comfort, safety, and overall experience quality.

5. Personal Responsibility Disclaimer

• PlanBay and the journey host shall not be held responsible for incidents arising from personal choices, including but not limited to:

  • Independent exploration outside scheduled group activities

  • Optional adventure or personal activities chosen by the participant

  • Disregard of safety instructions or group guidelines

  • Personal health-related issues during the journey

• Participants are expected to exercise personal judgment and responsibility at all times.

6. Medical Fitness & Disclosure Policy

• Participants are responsible for ensuring they are medically fit for international travel.

• Any pre-existing medical conditions, mobility limitations, or special assistance requirements must be disclosed at the time of booking.

• PlanBay shall not be held liable for complications arising from undisclosed medical conditions.

7. Photography & Media Consent

• By participating in the journey, travelers consent to being photographed or filmed during group activities for documentation, promotional, and social media purposes by PlanBay.

• Participants who prefer not to appear in public-facing content must inform PlanBay in writing prior to the journey.

8. Minimum Group Size Clause

This journey is planned for a fixed minimum group size.

If the minimum group size is not met, PlanBay reserves the right to:

• Reschedule the departure date, or

• Offer a refund after deducting applicable non-recoverable costs, or

• Propose an alternate arrangement with participant consent

9. Force Majeure Clause

PlanBay shall not be held responsible for disruptions, delays, or cancellations caused by events beyond its control, including but not limited to:

• Weather conditions

• Government regulations or travel advisories

• Airline or transportation disruptions

• Natural disasters

• Political or administrative actions

In such cases, decisions will be made with traveler safety and feasibility as the top priority.

10. Travel Insurance Advisory

• Participants are strongly advised to purchase comprehensive international travel insurance covering:

  • Medical emergencies

  • Trip delays or cancellations

  • Loss of baggage or personal belongings

• While PlanBay ensures careful planning and coordination, unforeseen circumstances can occur during international travel.

11. Expectation Alignment Notice

• China Upside Down is a curated, comfort-first group experience designed around thoughtful pacing, planning, and cultural immersion.

• Travelers seeking rushed sightseeing, extreme luxury, or price-based comparisons may find this journey not aligned with their preferences — and that is completely okay.
